JULIAN PRIVACY POLICY

This Privacy Policy explains how information is handled when authorised users use the Julian mobile application. Julian is a business fleet check-in application provided by EGB Consultancy Ltd.

1. INFORMATION WE PROCESS

Depending on how Julian is configured and the features an authorised user uses, we may process account information such as name, email address, telephone number, user ID, company and role; fleet or vehicle information; fleet check-in information; information entered during a vehicle check; photographs and files captured or submitted during a fleet check; QR code information scanned through the app; and technical information necessary to operate, secure and troubleshoot the service, such as device information, application activity, timestamps, error information and security logs. Julian does not collect information from a device simply because the application has permission to access it.

2. HOW INFORMATION IS USED

We process information to provide and operate Julian; authenticate authorised users; provide requested app functionality; record fleet check-ins; maintain vehicle and check records; process submitted forms, checks and photographs; troubleshoot technical problems; maintain the security and reliability of the service; and meet applicable contractual, legal or regulatory requirements. We do not sell personal information or use information collected through Julian for third-party advertising.

3. LOCATION INFORMATION

Some existing Julian configurations may request device location where a feature requires it, for example to confirm that an activity is being completed at or near an authorised work site. Julian requests the relevant device permission before accessing location information, and users can control location permissions through device settings. Disabling location access may prevent location-dependent features from working.

4. CAMERA ACCESS

Julian may request access to the device camera when a user chooses a feature that requires it, such as scanning a QR code or capturing vehicle photos during a fleet check-in. Camera access is requested through the device’s operating-system permission controls. Users can review or change camera permission through their device settings. Photographs and files submitted through Julian may be stored as part of the organisation’s fleet, check-in or operational records.

5. ABOUT JULIAN

Julian is a business fleet check-in application intended for authorised employees. Accounts may be provided and managed by the organisation a user works for. Where an organisation uses Julian to manage fleet or operational records, that organisation may determine why certain information is collected and how long it must be retained. In these circumstances, the organisation may be the data controller and EGB Consultancy Ltd may process information on its behalf in providing Julian.

6. SHARING AND SERVICE PROVIDERS

Information may be made available to authorised users within the organisation using Julian according to their roles and permissions. We may use trusted service providers for cloud hosting, data storage, authentication, email delivery, monitoring and application infrastructure. These providers process information only as necessary to provide their services and are expected to handle it appropriately. Information may also be disclosed where required by law or where reasonably necessary to protect the security, rights or integrity of the service or its users.

7. SECURITY

We use appropriate technical and organisational safeguards intended to protect information against unauthorised access, loss, alteration or disclosure. Access to Julian data is restricted according to user authentication, organisation access and assigned permissions. No internet-based system can guarantee absolute security, but we take reasonable measures appropriate to the nature of the information processed.

8. DATA RETENTION

Information is retained only for the period necessary for the business purposes for which it was collected and for applicable legal, contractual, security or record-keeping requirements. Where information belongs to an organisation using Julian, retention periods may also be determined by that organisation. Information may be deleted or anonymised when it is no longer required, subject to applicable legal or contractual requirements.

9. DATA DELETION AND PRIVACY REQUESTS

To request access to, correction of, or deletion of personal information associated with Julian, contact us at eduard@egbconsultancy.com. Requests may be subject to information that we are required or permitted to retain for legal, contractual, security or legitimate business record-keeping purposes. Where information is controlled by an employer or another organisation using Julian, requests may need to be directed to that organisation.

10. PERMISSIONS AND USER CHOICES

Users can review or change system permissions, including Camera, through their device settings. On iPhone and iPad, camera permission can be reviewed in Settings → Julian → Camera. Changing a system permission may limit a feature that depends on it; it does not automatically delete information already submitted to Julian.

11. CHILDREN

Julian is intended for authorised workforce and business use and is not designed as a service directed at children.

12. CHANGES TO THIS POLICY

We may update this Privacy Policy when the Julian service, our data practices or applicable requirements change. The Last Updated date identifies the current version.
